Conference Reservations
 

Individual Reservations
Individuals, either affiliated with the University of California or visiting campus on business, may stay in campus housing through the University Guest Resident program. Reservations must be made in advance by completing a reservation form and mailing to Conference Housing.

Specific accommodations have been set aside [separate from the University Guest Resident Program] for individuals attending the following conferences:

Group Reservations
conference guestsGroups not affiliated with the University of California are welcome to stay in campus housing during the summer months, and must initiate reservations through UC Davis Conference & Event Services; UC departments may contact us directly for a rate quote. Organizers making group arrangements must meet and accept the following reservation requirements and responsibilities to guarantee reservations.

Group organizers must provide UC Davis Conference Housing with guest guarantees in advance of the event as follows:

Sixty days before the event, organizers must provide an estimated number of guests, with 80% liability
Thirty days before the event, conference sponsors must confirm the number of expected guests, with 95% liability
Fourteen days before the event, conference sponsors must supply a guest list to UC Davis Conference Housing

VineyardShould the actual number of guests vary from the information provided at any of these three points, conference sponsors will be charged for the actual number of guests [if higher than expected], 80% of the 60-day estimated number of participants, or 95% of the 30-day confirmed number of participants… whichever is highest.

For safety considerations, counselors must be provided by groups at a ratio of one counselor/chaperone for every ten participants under 18 years of age.

  • The conference will be held financially responsible for all service requests made by authorized representatives.
  • A list of room reservations will be sent to the conference sponsor once guest names have been confirmed.
